Transforming Environmental Monitoring in Pathology: How Sydpath Ensures Precision and Compliance

How Sydpath ensures precision and compliance
Sydpath is a scientific pathology laboratory based in St Vincent’s public hospital in Sydney. Sydpath’s 13 departments each specialise in a different form of pathology, including immunopathology, toxicology, haematology, microbiology and cancer genetics. Their work provides essential support to the hospital in the diagnosis and treatment of its patients: for example, the immunopathology department carries out the pre-screening of blood and blood products that enable transplants and transfusions. In total, Sydpath tests 2000 patient episodes every day.
Meeting stringent quality standards
Pathology samples and the equipment and reagents used to test them must be stored and handled under strictly controlled conditions, in compliance with international quality control standards. The Sydpath laboratory is accredited by Australia’s National Association of Testing Authorities (NATA) and is registered with the Therapeutic Goods Association (TGA).
In order to meet these stringent requirements Sydpath closely monitors the temperature and humidity of its fridges, freezers, incubators and testing environments. Elizabeth Marland, senior scientist and manager of the Immunology and Serology department explains: ‘The laboratory’s fridges range from the size of a hotel mini-bar to a walk-in cold room, and a single fridge or freezer can store thousands of samples, which could be rendered unusable if the right temperature were not maintained.’

A new EMS
Monitoring is managed through a series of temperature and humidity sensors linked to an Environmental Monitoring System (EMS). Sydpath needed to replace their previous EMS as it was outdated and didn’t provide the sophisticated functions that they needed.
Sydpath’s sister site at St Vincent’s Hospital in Melbourne had selected a monitoring system from ECEFast and Sydpath decided that the solution was a good fit for them too. ‘The system that ECEFast provided’, says Elizabeth, ‘consisted of 95 monitoring probes, WiFi receivers and transmitters, servers, an alarm panel and the software to manage it all.’
She continues: ‘ECEFast installed the system, set up all our scientists with their own logins, and delivered extensive training. We had advanced user training sessions for all managers and senior staff, plus company-wide training, complete with documentation and recordings. They equipped me to do some internal training with our teams too – they really wanted to ensure we were fully comfortable with using the system.’
ECEFast also carry out the regular calibration of the system to NATA standards. ‘They came to the hospital and calibrated all 95 devices in just four days’, says Elizabeth.
The four key benefits
The new EMS provided by ECEFast has transformed the way that Sydpath is able to monitor its storage and testing environments. Elizabeth summarises the improvements:
-
Reliable Alarms
‘Firstly, and crucially, the alarm system is so much more reliable than our previous one’, she says. ‘If a device falls outside of its permitted temperature range, we receive an alert by email or text, which means we can take prompt action. In addition, 53 of our 95 devices are designated as critical, meaning that they contain irreplaceable specimens or expensive material. If one of those devices is triggered as out of range, an alert is sent to an alarm box on the wall of the central specimen reception. It has audible and flashing alarm and a screen that shows which probe has sent the alert. We can salvage at risk samples by moving them to another fridge.’
-
Reporting for compliance
‘Reporting is an essential function for us’ Elizabeth goes on. ‘We have to be able to show NATA and the TGA our records for audit purposes, including historical data that goes back as far as 20 years. The old system had gaps, but now we are confident in our data integrity. With this system, we can set up automated reports, so we don’t even have to log in to review the data – instead we get a summary report sent to our inboxes.’
-
Saving time and effort
‘The new system saves us a lot of time and effort because it is much easier to use. Every probe has its own screen, for an instant check if needed. The software is simple to navigate, and we can quickly get to the graphs that show performance of each device. Managing users and devices is straightforward too – we’ve recently bought two new fridges and adding them into the system was quick and easy. The fact that the system is wireless not only saves time when adding new devices but gives us the flexibility to move probes if needed.’
-
Support
‘Finally’, sums up Elizabeth, ‘the support we get from ECEFast is great. With our old vendor, it was all by email, but ECEFast will visit, will pick up the phone, and will be in touch through Teams meetings and messages. They are always very prompt to respond, and nothing seems too much trouble for them – when there were delays because of our complex contract processes, they supported us while we were waiting to get everything signed. They’re always willing to help resolve issues and make life easy for us.’
The pathology testing that Sydpath does is crucial to supporting St Vincent’s hospital – and the EMS system from ECEFast is no less important in enabling this vital work.
